Update Time Entry and Time Entry Approval for the New Year

If you are using Time Entry, Time Entry Approval, or Schedules on the Avanti Self-Service Portal, you may need to update the date range option as part of your Year-End.

Not using Time Entry, Time Entry Approval or Schedules on the Avanti Self-Service Portal? Congratulations! You have completed the Year-End Checklist.

Although this video is from a past year, rest assured that the process remains the same. Alternatively, you can read the article below.

This article will guide you through updating the date range to add and updating or deleting entries in Time Entry and Time Entry Approval. Additionally, you can update the date range on Schedules, where employees can view other employee schedules and place pick-up and exchange requests.

Additional Information 
If you are using Availability Entry, Time Card Summary, Time Sheet Entry, or Time Sheet Summary, make sure you have updated the company web setting. Go to Update the Company Web Settings for the New Year 
for more information.

How to Update Time Entry Templates

If you are using Time Entry to maintain time on the Avanti Self-Service Portal, a message similar to the following will display when users access a date outside the allowed date range. 

Complete the following to ensure users can enter time in the new year.

Step 1: Open Time Entry Templates in the Avanti Desktop Application.
By default, this can be found in Web Services >> Installation and Maintenance.

Step 2: Select a View, then select Modify.

Step 3: Update the date range to the new range required.

Additional Information
Users can only view and make changes to time within this date range. The date range cannot exceed 10 years.

Step 4: Select OK to save your changes.

Step 5 Repeat Steps 2 to 4 for each View in Time Entry Templates.

Congratulations! Time Entry is now ready for 2024!

How to Update Time Entry Approval Templates

If you are using Time Entry Approval to maintain or approve time on the Avanti Self-Service Portal, a message similar to the following will display when users access an entry outside the allowed date range. 

Please complete the following to ensure users can enter time in the new year.

If you are not using Time Entry Approval Templates, please go to How to Update the Schedule Maintenance.

Step 1: Open Time Entry Approval Templates in the Avanti Desktop Application.
By default, this can be found in Web Services >> Installation and Maintenance.

Step 2: Select a View, then select Modify.

Step 3: On the View tab, Enable can be found in Date Range Options.

  • If Enabled is not selected, then the Time Entry Approval Template allows any date to be entered, and no changes are necessary. You can skip to Step 6

  • If Enabled is selected, proceed to Step 4.

Step 4: Update the date range to the new range required.

Additional Information

Step 5: Select OK to save your changes.

Step 6: Repeat Steps 2 to 4 for each Time Entry Approval Template.

Congratulations! Your Time Entry Approval Templates are now ready for the new year!

If you are not using Schedules, congratulations! Your Time Entry Approval Templates are now ready for 2024 and you have completed Year-End! You are ready to process your first pay of 2024.

How to Update the Schedule Maintenance

If you are using Schedules to allow employees to view, pick up, or exchange each other's schedules on the Avanti Self-Service Portal, please complete the following to ensure users can enter time in the new year.

If no schedules are displayed in Schedules after a date, even though they have been created, you may need to update the allowed date range in Schedule Maintenance.

If you are not using Schedules, congratulations! Your Time Entry and Time Entry Approval Templates are now ready for 2024 and you have completed Year-End! You are ready to process your first pay of 2024.

Step 1: Open Schedules Maintenance in the Avanti Desktop Application.
By default, this can be found in Web Services >> Installation and Maintenance.

Step 2: Select a View ID, then select Modify.

Step 3: On the Basic Setup tab, there are Date Range Options.

  • If there is a start and end date specified, go to Step 4.  

  • If there is an expression or nothing specified, congratulations. No updates are necessary. You can proceed to the next articles.

Step 4: Adjust the date range to the next date range. Only entries within this range will display on Schedules in the Avanti Self-Service Portal.

Step 5: Select OK to save your changes.

Step 6 Repeat Steps 2 to 5 for each View.

Congratulations! Your Time Entry, Time Entry Approval and Schedules are now ready for 2024 and you have completed Year-End! You are ready to process your first pay of 2024.
