Renumber Employees

Have an employee with an incorrect employee number? Don’t worry! Mistakes happen. It’s easy to adjust an employee’s number any time, using Renumber Employee.

Avanti Users can only Renumber Employees if:

  • They can insert, modify and delete employees on the Employee Profile.

  • They have access based on the py\mtrenumberemployee Subfunction Access Control . By default, access is restricted to Users with A responsibility. Want more information on restricting access? Skip to the How to Set Permissions to Renumber Employees section below.

Renumber an Employee

Step 1: Open Employee Profile in the Avanti Desktop Application.
By default, this can be found in Canadian Payroll >> Employee Profile.

Step 2: Choose who you’d like to update in Employee.

Step 3: Select Renumber Employee, which you can find at the bottom of the screen.

Additional Information
If Renumber Employee isn’t here, you either don’t have access to Insert, Modify, and Delete Employees or don’t have access to the Subfunction Access Control. Skip to the How to Set Permissions to Renumber Employees section below.

Step 4: Adjust the New Employee Number if the default is incorrect. Select OK.

Additional Information
If your next employee number is incorrect, you can update Set Last Employee Number. The New Employee Number defaults to the next employee.
By default, Set Last Employee Number can be found in Canadian Payroll >> Installation & Maintenance.

Step 5: Select Yes to confirm you’d like to update the employee’s number.

Additional Information
It may take a couple of moments to update the employee number; all the employee’s details are being updated with the new employee number.

Step 6: Once the employee number is updated, a message displays. Select OK.

Congratulations! You’ve updated the employee number.

How to Set Permissions to Renumber Employees

This guides you through adjusting which Avanti Users can renumber employees. By default, access is restricted to Users with A responsibility.

Avanti Users can only Renumber Employees if:

  • They can insert, modify and delete employees on the Employee Profile.

  • They have access based on the py\mtrenumberemployee Subfunction Access Control .

    • Have Modify Responsibility to the Subfucntion Access Control.

    • Have User Group Access to the Subfucntion Access Control.

Additional Information
If subfunction access control py\mtrenumberemployee this is not in your company, no one can renumber employees.

Step 1: Open Subfunction Access in the Avanti Desktop Application.
By default, this can be found in System Administration >> System Access Controls.

Step 2: Enter py\mtrenumberemployee in the Search.

Step 3: Select py\mtrenumberemployee, then select Modify.

Step 4: Adjust the Modify Responsibility Level to the correct letter, if it’s incorrect.

Additional Information
For users to renumber employees, their company access must be the same or higher than the letter for Modify here, unless there’s a *.

  • A * grants access to all users.

  • Enter an A to restrict access the most. Only users with A responsibility can renumber employees.

  • Enter any other letter. Users with that level of access can renumber employees. Users with a letter between that level of access and A can also renumber employees.

Step 5: Determine whether to restrict the ability to renumber employees by User Groups.

  • If you want all users to renumber employees regardless of their User Group, skip to Step 7.

Step 6: Select *, then select the Arrow to move it to Available.

Step 7: Select a User Group that should be able to renumber employees, then select the Arrow to move it to Selected.

Additional Information
For users to renumber employees, one of their User Groups must be in the Selected Column, unless there’s a * in the Selected column. A * in the Selected column grants access to all users.

Step 8: Repeat Steps 6 and 7 for each User Group that should be able to Renumber Employees.

Step 9: Select OK.

All set! If you need to renumber an employee immediately, close and reopen Avanti.

Additional Information
Still unable to renumber employees? You may not have access to Insert, Modify, and Delete in Employee Profile. Check the permission for the Employee Profile menu in System Menu.
