Compensation Setup Guide

Once you’re ready to start using Compensation, you’ll need to make a few decisions before you enable it.

Password Protect the PDF
Decide whether employees must enter a password before accessing the PDF version of Compensation.

Allow employees to email themselves the PDF
Decide whether employees must enter a password before accessing the PDF version of Compensation.

Set the Initial Payroll Date
Set the initial pay date; any pay before this day won’t display in Compensation.

Hide Employee Compensation
You can prevent the Compensation tab from displaying for specific employees.

Which Benefit Codes Display
You can prevent benefits from being included in Compensation.

Earnings Display when the Amount is Zero
You can prevent certain earnings from being included in Compensation when their pay period amount is zero.

Manager Access to Employee Pay Statements
Allow Managers and Regular Users access to other employees’ pay information by setting up Pay Statements.

To complete setup, you must be a Regular User with the Admin User Group. You’ll be accessing the Avanti Desktop and the Avanti Self-Service Portal.

How to Password Protect Compensation’s PDF

Compensation’s PDF can be password protected with the same password used to access Tax Slips.

Once you decide whether the PDF should be password protected, you’ll need to confirm it’s set up correctly.

Additional Information
Password protection won’t apply to Managers or Regular Users viewing other employees’ information on Pay Statements. 

Don’t Password Protect the PDF

Step 1: Open Administration Settings on ASSP and select Company Settings. 
By default, this can be found in Administration. 

Step 2: Enter PayStatementsRequireUserSetPassword in the Search.

Step 3: Select Edit for PayStatementsRequireUserSetPassword.

Step 4: Deselect Value if it’s selected, then select Save.

Step 5: Select Reload Settings.

Password Protect the PDF

Step 1: Open Administration Settings on ASSP and select Company Settings.
By default, this can be found in Administration. 

Step 2: Enter PayStatementsRequireUserSetPassword in the Search.

Step 3: Select Edit for PayStatementsRequireUserSetPassword.

Step 4: Select Value if it’s deselected, then select Save.

Step 5: Select Reload Settings.

Great! The Compensation PDF is now password-protected. Employees can change their password in the Change Statement Password section on Settings.

Allow Employees to Email Themselves the Compensation PDF

You can allow employees to email themselves the PDF of their pay statement. Allowing this will also enable employees to email themselves copies of their Tax Slips.

The emailed pdf will always be password protected.

  • If the employee has a statement password, it’ll be used to password-protect the emailed file.

  • If the employee doesn’t have a statement password, it’s protected using the Default Email Statement Password Mask. You can update this from the Avanti Desktop on the Basic tab in Payroll Parameters.

Email must be set up on your ASSP to use this feature. If you haven’t set up email on ASSP, reach out to Client Care, and we’d be happy to help you set this up.

Step 1: Open Administration Settings on the Avanti Self-Service Portal and select Company Settings if it’s not already open.
By default, this can be found in Administration. 

Step 2: Enter EnableEmail in the Search and select Edit.

Step 3: To enable email, select the checkbox beside Value and select Save.

Additional Information 
This will also allow employees to email themselves copies of their Tax Slips.

Step 4: Select Reload Settings.

Congratulations! Emailing from Compensation is now set up.

How to Set the Initial Payroll Date

Step 1: Open Administration Settings on the Avanti Self-Service Portal and select Company Settings if it’s not already open.
By default, this can be found in Administration. 

Step 2: Enter PayStatementsStartDate in the Search, then select Edit.

Step 3: Update the date to the earliest pay you’d like to display in Value, then click Save.

Additional Information 
All pay after this date is included in Compensation. 

Step 4: Select Reload Settings.

How to Hide Compensation for Employees

For an employee to access Compensation, Enable Web Services must be selected on the Personal tab of the Employee Profile.

Additional Information
Enable Web Services 
also allows employees to self-register from your ASSP login screen.

You can use Re-apply Employment Defaults if you need to select Enable Web Services for multiple employees. Go to Update Employee Information for All Employees for more details.

You can also restrict which employees can access Compensation.

How to Prevent Benefit Codes from Displaying

You may want to prevent non-taxable benefits, WCB or leave entitlements from displaying in Compensation, especially if the leave entitlement is already on the statement.

Additional Information
We recommend only selecting this for non-taxable benefits. Removing taxable benefits may confuse employees, as it impacts their taxes and take-home pay. 

If a Collective Bargaining Agreement restricts any employer-paid items from displaying, they can be restricted.

Step 1: Open Deduction/Benefit Codes in the Avanti Desktop Application.
By default, this can be found in Canadian Payroll >> Employer Payroll Tables.

Step 2: Select a code you don’t want to include, then select Modify.

Step 3: Select Suppress printing benefit on statement if it’s deselected, then select OK.

Step 4: Repeat Steps 2 and 3 for every benefit you don’t want on the statement.

How to Prevent Earnings from Displaying

You can prevent earning codes from displaying on Pay Statements and Compensation when there are no earnings during the pay period.

Step 1: Open Earning Codes in the Avanti Desktop Application.
By default, this can be found in Canadian Payroll >> Employer Payroll Tables.

Step 2: Select a code you don’t want to include, then click Modify.

Step 3: Select Suppress statement printing when earning amt = 0 if it’s deselected, then click OK.

Step 4: Repeat Steps 2 and 3 for every code you don’t want to display when the employee has no earnings in the pay period.

Compensation PDF

Employees can download a PDF version of their Pay Statements. PDF displays the same information as when you print the statement from Payment Inquiry.

How to Add the Compensation Menu

Only Regular users with the Admin user group can set up Compensation.

Step 1: Select System Configuration.  

Step 2: Under System, select New Experience.

Step 3: Select Start Setup.

Step 4: Select Continue to bypass the security.

Step 5: Select Compensation.

Additional Information
If Pay Statements aren’t set up, access automatically opens when Compensation is selected. Otherwise, select Edit. 

Step 6: Select a Role Type.

Important Information
Since employees can only view their own information, Role Type
 won’t change access.

Step 7: Select the User Groups. Anyone in one of the selected User Groups can access their Compensation. Then click Save.

Additional Information
Only users in one of the selected User Groups can access Compensation.

Step 8: Select Finish.

Step 10: Select Exit Configuration.

Great! Compensation is all setup, and employees can access it from within Personal.

How to Add Pay Statements to the Web Menu

If you’d like Managers and Regular Users to view pay information for other employees, you’ll need to set up Pay Statements.

Step 1: Open the Web Menu on the Avanti Desktop.
By default, this can be found in Web Services >> Installation & Maintenance.

Step 2: Select Display Update Menu.

Additional Information
If you’re not currently using Pay Statements, you’ll see the menu in Red. If it’s in Blue, skip to Step 4
.

Step 3: Right-click on Pay Statements in the Update Menu, and select Add New in Avanti Menu.

Additional Information
If you’re using an older version of Pay Statements, it’ll display in Yellow. You’ll need to right-click on it and select Merge Avanti Menu
.

Step 4: Select Hide Update Menu.

Step 5: Double-click on Pay Statements.

Step 6: Select a Role Type to determine which employees your managers and regular users can access pay statements for.

Step 7: If you want all managers and Regular Users to be able to access Pay Statements, ensure the * is in the Selected column and skip to Step 9. If it’s not already in the Selected column, double-click on it.

If only some of your Managers and Regular Users should access Pay Statement, double-click on the * if it’s in the Selected column.

Step 8: Double-click on each User Group in the Available column that should have access to Pay Statements, then click OK.

Additional Information
Only users in one of the User Groups in the Selected column can access Pay Statements.

Step 9: Select OK to save your changes.

Allow Managers and Regular Users to Access Pay Statements

This allows Managers and Regular Users to view the pay information for employees by allowing them access to Pay Statements. Pay Statements won’t display for employees.

Managers and Regular Users will have access to the same employees they currently do.

Step 1: Go to the Company Settings tab on the Avanti Self-Service Portal.
By default, this can be found in Administration.

Step 2: Enter ExcludedPrograms into the Search, then click Edit.

Step 3: Remove #PayStatements, from Value, then select Save.

Additional Information
There may be a comma after #PayStatements
; be sure to remove it if it’s there.

Step Select Reload Settings.

You’ll need to log out of ASSP; Pay Statements is available the next time you log into ASSP.
