Allow Employees to add Additional Information

You can create fields for employees to enter their own information on the Avanti Self-Service Portal (ASSP). You can capture any information you’d like to gather about your employees, such as:

  • License Plate Number

  • Parking Stall number

  • Gender, so employees can self-report

  • Preferred Pronouns

  • Veteran

  • Shirt Size

Important Information
This article guides you through capturing additional information when you’re already using Values in Personal Information on ASSP. If you’re not displaying Values on ASSP, please get in touch with Client Care
 for assistance.

In addition to appearing on ASSP, the information appears on the Values tab on the Employee Profile.

How to Create the Employee Field

Step 1: Select the Profile Field Names tab on Payroll Parameters in the Avanti Desktop Application.
By default, this can be found in Canadian Payroll >> Installation and Maintenance.

Step 2: In an empty Text Fields option, enter the field’s name for employee information.

This label appears on the Avanti Desktop. Don’t worry if the label you’d like on ASSP is too long; you can add that later.

Please note the T# label beside the variable; it’s needed to set up the display on ASSP. In this example, I’ve added T6.

Step 3: Ensure Text is selected for Text Types.

Text allows employees to type in their information or select an option from a list you create in Text Field Lookup Values. Alternatively, you can select one of the following:

  • Employee: allows employees to select from a list of employees in Avanti. 

  • Required Text: employees must enter their response saving changes in Values on ASSP. On the Avanti Desktop, the employee must have a selection before saving any changes on the Employee Profile. 

  • Other Code: employees can select from a list you create in Text Field Lookup Codes. 

  • Location Code: employees can select from a list of the Location Codes in Avanti. 

  • Union Code: employees can select from a list of the Union Codes in Avanti. 

  • Position Codes: employees can select from a list of the Position Codes in Avanti. 

Step 4: Select OK.

Wonderful! You’ll now be able to view this field on the Values tab on the Employee Profile on the Avanti Desktop. There’s still some setup required to add this on ASSP.

How to Create the Options Employees Can Select

Do you want employees to select from a list of options? This section will guide you through creating the list of options; then, employees can either choose from the list or type in their answer.

If you’d like employees to type in their answers, skip to the How to Add the Employee Field on ASSP section below.

Additional Information
You can only create a list if you selected Text 
for Text Types in Payroll Parameters.

Step 1: Open Text Field Lookup Values in the Avanti Desktop Application.
By default, this can be found in Canadian Payroll >> Employer Payroll Tables.

Step 2: Select the variable you entered in Text Field.

Step 3: Select Insert.

Step 4: Enter the option that should be available for selection, then click OK.

Step 5: Repeat Steps 3 and 4 until you’ve added all the options.

Additional Information
Employees can enter their responses, in addition to the options you’ve created here.

How to Add the Employee Field on ASSP

Step 1: Open Administration Settings on ASSP and select Company Settings. 
By default, this can be found in Administration. 

Step 2: Enter PersonalInfo.Text into Search.

Step 3: Select Edit for PersonalInfo.TextVisibleFields.

Step 4: Enter the variable into Value.

  1. If there’s text in the Value that isn’t followed by a comma, add a comma.

  2. Next, enter the T# followed by a colon.

    This is the T# you created in the How to Create the Employee Field 
    section above.

  3. Then enter what you’d like to display when employees log into ASSP in English, followed by a colon.

  4. Now, enter what you’d like to display when employees log into ASSP in French, followed by a comma.

    Additional information
    If you don’t have French enabled, just add a comma instead of the text.

For example, since I’m using variable T6 for employees to add their Preferred Pronouns, my variable would be:

When using French:

,T6: Preferred Pronouns : Pronoms préférés,

When not using French:

,T6: Preferred Pronouns :,

Step 5: Select Save.

Step 6: Select Reload Settings.

Now employees can add their information in the Values section of Personal Information.

Congratulations! Employees can now enter the information on ASSP.
