Once you’re ready to start using Messages to foster employee communication, you’ll need to make a a couple of decisions.
Who are the Payroll Administrators
Ensure the right folks get the message by setting your Payroll Administrators. You can set User Groups, and everyone in those groups will get messages when Send to Payroll Administrators Only is selected.
Can Employees Message Another Besides the Payroll Administrator
You can decide who employees can send a message. You can choose for employees to be able to send and apply to your payroll administrators. Otherwise, employees can send new messages to payroll administrators and reply to anyone in a position they report to.
Allowing an Email Copy
You can also allow Messages to send an email and a message in Avanti.
Display Sent Messages
Don’t want employees to view the messages they previously sent? You can prevent sent messages from displaying.
Length of Past Messages History
Decide how long sent messages can be accessed for.

How to Set Your Payroll Administrators
Determine who gets the message when Send to Payroll Administrator Only is selected when a message is sent. Here, you’ll set a comma-separated list of the user groups; everyone in those user groups will get those messages.
Step 1: Open Administration Settings on ASSP and select Company Settings.
By default, this can be found in Administration.
Step 2: Enter PayrollAdministratorUserGroup in the Search, then select Edit.
Step 3: Enter a comma-separated list of user groups and select Save.

Who can Employees Message?
Here you can determine who employees can message:
Employees can message and reply to the payroll administrators.
Employees can send messages to payroll administrators and reply to messages from anyone in a position they report to.
Additional Information
This doesn’t change who Managers and Regular Users can Message.
Step 1: Open Administration Settings on ASSP and select Company Settings.
By default, this can be found in Administration.
Step 2: Enter SendMessageOnlyToAdministrator in the Search.
Step 3: Determine if the setting is already correct.
If True, employees can message and reply to the payroll administrators.
If False, employees can reply to messages from anyone in a position they report to.
If it’s set appropriately, skip to How to Allow Email Copies.
Step 4: Select Edit.
Step 5: Select or deselect Value, then select Save.
If selected, employees can message and reply to the payroll administrators.
If deselected, employees can reply to messages from anyone in a position they report to.
How to Allow Email Copies
You can also allow Messages to send an email, and a message in Avanti.
Step 1: Open Administration Settings on ASSP and select Company Settings.
By default, this can be found in Administration.
Step 2: Enter SendMessageDisableSendEmailCopy in the Search.
Step 3: Determine if the setting is already correct.
If True, there won’t be an option to send an email copy of the message.
If False, there’s an option to send an email copy of the message.
If it’s set appropriately, skip to How to Display Sent Messages.
Step 4: Select Edit.
Step 5: Select or deselect Value, then select Save.
If selected, there won’t be an option to send an email copy of the message.
If deselected, there’s an option to send an email copy of the message.
How to Display Sent Messages
You can hide or display sent messages.
Step 1: Open Administration Settings on ASSP and select Company Settings.
By default, this can be found in Administration.
Step 2: Enter EnableSentMessageItemsDisplay in the Search.
Step 3: Determine if the setting is already correct.
If True, sent messages will display.
If False, sent messages won’t display.
If it’s set appropriately, skip to How Long Should Sent Messages Display.
Step 4: Select Edit.
Step 5: Select or deselect Value, then select Save.
If selected, sent messages will display.
If deselected, sent messages won’t display.
How Long Should Sent Messages Display?
This setting allows you to select how long messages will display in your sent messages. If you’re not displaying sent messages, all that’s left is Adding Messages to the Menu.
Step 1: Open Administration Settings on ASSP and select Company Settings.
By default, this can be found in Administration.
Step 2: Enter SentMessagesDisplayMonthsLimit in the Search, then select Edit.
Step 3: Enter the number of months you’d like sent messages to display in Value.
How to Reload Settings and Add the Messages Menu
To ensure the setting takes effect immediately, you’ll want to reload the web settings before adding Messages to ASSP.
Step 1: Open Administration Settings on ASSP and select Reload Settings.
By default, this can be found in Administration.
Additional Information
If you’ve already moved to the latest ASSP, you won’t see Reload Settings; your changes will take effect within 5 minutes.
Step 2: Now you’re ready to use Messages, you can add it to your Web Menu in the Avanti Desktop. Go to How to Add New Items to Your Avanti Menus for all the details about adding new menus from the update menu.
