Additional Information Setup Guide

Once you’re ready to start using Additional Information, you’ll need to make a few decisions before you can enable it.

Which Information to Include
Set the information will display in Addition Information and create a label for each field.

The Information Employees can Update
Select which information an employee can update for themselves.

The Information Managers can Update for Themselves
Decide which information managers and regular users can update for themselves.

The Information Managers can Update for Other Employees
Decide which information managers and regular users can update for other employees.

Already have your employee’s Values, Figures or Dates on ASSP? Check out our Additional Information Transition Guide outlining all the different behaviours you can expect when you move to Additional Information. It’ll also guide you through the steps for updating to Additional Information.

To complete setup, you’ll need to be a Regular User with Admin User Group access to the Avanti Desktop and the Avanti Self-Service Portal.

What Can You Include in Additional Information

Before you can start getting set up, you’ll need to determine which information you want to include and who can update it.

All the additional employee fields defined can be found on the Profile Field Names tab in Payroll Parameters. By default, this can be found in Canadian Payroll >> Installation & Maintenance.

You’ll need to pay special attention to the letter and number beside each field. You’ll need these in the setup steps below.

How to Include Employee Figures

Don’t want to include Employee Figures in Additional Information? Skip to Include Employee Dates.

Step 1: Open Administration Settings on ASSP and select Company Settings and enter PersonalInfo.Figure in the Search. 
By default, this can be found in Administration. 

Great! Now you’re ready to start updating the settings. By default, no figures are included in Additional Information. You’ll need to select the information you want to display.

How to Display Figures

Step 1: Select Edit for PersonalInfo.FigureVisibleFields.

Additional Information
Here you’ll select which Figures will display using M1 to M9 and M30 to M35.

Step 2: In value, enter an M# you want to display, then add a colon.

Step 3: Enter the label you want to display, then add a colon.

Additional Information
If you want to display the label from Payroll Parameter, simply replace the colon after the M# with a comma and skip to Step 5.

Step 4: Enter the French label you want to display, then add a comma.

Additional Information
This is only applicable for clients using French. Don’t have French? Just a comma to the end of value.

Step 5: Repeat Steps 2 to 4 for each figure you want to display in Additional Information, the select Save.

Well done! You’ve set the figures in Additional Information.

If all users should be able to update these figures, skip to Include Employee Dates.

How to Select Figures Employees Can’t Update

Step 1: Select Edit for PersonalInfo.FigureEmployeeReadOnly.

Step 2: In values, enter a comma-separated list of the M# that employees can’t update, then click Save.

Additional Information
You can enter any combination of these in the value. 

M1, M2, M3, M4, M5, M6, M7, M8, M9, M30, M31, M33, M34, M35

How to Select Figures Managers Can’t Update for Themselves

Step 1: Select Edit for PersonalInfo.FigureManagerReadOnlyForSelf.

Step 2: In values, enter a comma-separated list of the M# managers and regular users can’t update for themselves, then select Save.

Additional Information
You can enter any combination of these in the value. 

M1, M2, M3, M4, M5, M6, M7, M8, M9, M30, M31, M33, M34, M35

How to Select Figures Managers Can’t Update for Other Employees

Step 1: Select Edit for PersonalInfo.FigureManagerReadOnly.

Step 2: In values, enter a comma-separated list of the M# managers and regular users can’t update, then click Save.

How to Include Employee Dates

Don’t want to include Employee Dates in Additional Information? Skip to Include Employee Values.

Step 1: Open Administration Settings on ASSP and select Company Settings and enter PersonalInfo.Date in the Search. 
By default, this can be found in Administration. 

Great! Now you’re ready to start updating the settings. By default, no dates are included in Additional Information. You’ll need to select the information you want to display.

How to Display Dates

Step 1: Select Edit for PersonalInfo.DateVisibleFields.

Additional Information
Here you’ll select which Dates will display using M11 to M22.

Step 2: In value, enter an M# you want to display, then add a colon.

Step 3: Enter the label you want to display, then add a colon.

Additional Information
If you want to display the label from Payroll Parameter, simply replace the colon after the M# with a comma and skip to Step 5.

Step 4: Enter the French label you want to display, then add a comma.

Additional Information
This is only applicable for clients using French. Don’t have French? Just a comma to the end of value. 

Step 5: Repeat Steps 2 to 4 for each date you want to display in Additional Information, then select Save.

Congratulations! You’ve set the dates in Additional Information.

If all users should be able to edit these dates, skip to Include Employee Values.

How to Select Dates Employees Can’t Update

Step 1: Select Edit for PersonalInfo.DateEmployeeReadOnly.

Step 2: In values, enter a comma-separated list of the M# that employees can’t update, then select Save.

Additional Information
You can enter any combination of M11 to M22.

How to Select Dates Managers Can’t Update for Themselves

Step 1: Select Edit for PersonalInfo.DateManagerReadOnlyForSelf.

Step 2: In values, enter a comma-separated list of the M# managers and regular users can’t update for themselves, then select Save.

You can enter any combination of M11 to M22.

How to Select Dates Managers Can’t Update for Other Employees

Step 1: Select Edit for PersonalInfo.DateManagerReadOnly.

How to Include Employee Values

Step 2: In values, enter a comma-separated list of the T# managers and regular users can’t update for themselves, then select Save.

You can enter any combination of T1 to T20.

How to Select Values Managers Can’t Update for Other Employees

Step 1: Select Edit for PersonalInfo.TextManagerReadOnly.

Step 2: In values, enter a comma-separated list of the T# managers and regular users can’t update, then select Save.

Additional Information
You can enter any combination of T1 to T20.

How to Add Additional Information to the Menu

Only Regular users with Admin user group access can set up Additional Information.

Step 1: Select System Configuration.

Step 2: Under System, select New Experience.

Step 3: Select Start Setup.

Step 4: Select Continue to bypass the security.

Step 5: By default, Additional Information is selected.

Additional Information
If you already use Personal Information, the same access is used for Additional Information. If you want to change access, select the Edit button. Otherwise skip to Step 10
.

If Personal Information isn’t set up, access automatically opens when Additional Information is selected. 

Step 6: Select a Role Type to determine which employees your managers and regular users can access Additional Information for.

Additional Information
If no Role Type is selected, the default is Time Entry. Managers and Regular Users can only see Additional Information for employees they can view Personal Information for.

Step 7: Select the User Groups. Anyone in one of the selected User Groups can access Additional Information, if they can access Personal Information.

Additional Information
Only users in one of the selected User Groups can access Additional Information.

Step 8: Set your desired Responsibility to Edit, and View Additional Information.

  • A * grants access to all users.

  • Enter an A to restrict access the most. Only users with will have access.

  • Enter any other letter. Users with that letter will have access. Users with a letter between that level of access and A will also have access.

Additional Information
Responsibility levels range from A to Z, with A being the most restrictive. The user’s responsibility level is based on their assigned User Groups. Go to Responsibilities for more information.

For example, if the Edit Responsibility is B, the user must have A or B access to modify the information.

Step 9: Select Save.

Step 10: Select Finish.

Step 11: Select Exit Configuration.

Great! Additional Information is all set up, and employees can access it from Personal Information.
