Multi-factor Authentication Overview

Add another layer of security to protect your essential information with multi-factor authentication (MFA). You can include MFA for additional protection when signing in and while making key security changes to help ensure employees are who they say. Avanti supports two types of MFA:

Google Authenticator
Uses a unique code from your employee’s phone, which they’ll enter in Avanti to confirm their identity.

Security Questions
Employees answer questions, which they’ll enter later to confirm their identity.

You can have employees add either of these types of MFA, or let them choose which type of MFA they’ll use.

Additional Information
While having employees use an authenticator app is the most secure option, some employees can’t use an app due to device limitations. In that case, we recommend allowing your employees to choose between adding Google Authenticator or security questions

You can choose when employees complete MFA as an extra precaution from the following:

  • Signing into ASSP, the Avanti Desktop, and Avanti Go.

  • Changing their security options in ASSP.

  • Changing their password on ASSP.

Is an employee having difficulty signing in with their MFA? Their account could be locked out after too many attempts to sign in. Go to Unlocking a User Account for more information.

Google Authenticator

Google Authenticator provides a unique, time-sensitive code right on your employee’s phone. By ensuring your employees have their physical devices, you’ll know that there’s an extra layer of protection between your critical data and bad actors.

Once you’ve set up the authenticator app, employees are prompted to add an authenticator the next time they sign into Avanti. All they need to do is:

  1. Install an app.

  2. Scan the QR code or copy the key into the app.

  3. Enter the code from their device at the bottom.

Security Questions

Security questions provide additional protection to help keep your data safe. With security questions, you can have a list of questions for employees to choose from or allow them to create their own questions.

When creating questions, aim for questions unlikely to be easily guessed or publicly accessible; bad actors can gather information from social media and other sources to try to break in.

Once you’ve set up security questions, employees are prompted to create questions the next time they sign into Avanti.

Worried about employees forgetting their answers? While there’s no way to see your employee’s answers, you can delete them from within Avanti Users on the Avanti Desktop. Just go to the Authenticator tab, select the question and click Delete.

Choice of MFA

Giving your employees the choice of MFA allows them to decide whether to add Google Authenticator or security questions. If employees have added Google Authenticator, we’ll always use that for authentication since it’s the most secure option.

Once you’ve set up their choice of MFA, employees are prompted to add Google Authenticator with the option of creating security questions. We recommend employees use Google Authenticator unless their device doesn’t support it.
